# Shift handover and double replies — Shared Team Inbox

Answer in brief

Com.bot's Shared Team Inbox reference: Prevent double replies and dropped chats by giving every open conversation one owner, a short internal note at handover and an end-of-shift sweep of the unassigned queue.

## Why double replies happen

Two agents see the same new message, both start typing and the customer gets two different answers. In a shared team inbox it happens most at busy times and wherever ownership is unclear.

Look for signals that warn an agent before they reply: an owner name on the conversation, a viewing indicator or a lock while someone else is typing. Ask the provider which of these its inbox shows rather than assuming.

## A handover routine

Before a shift ends, each agent adds a one-line internal note to every open conversation: what the customer wants, what was promised and what comes next. Chats that need the next shift are reassigned, not left with someone who has gone home.

A supervisor then confirms the unassigned queue is empty. For hours nobody covers, set expectations with an away message or a bot reply that says when a person will answer.

## An illustrative double-reply check

In a pilot, have two agents open the same new conversation at the same moment and both try to reply. Note what each one sees and whether the inbox warns the second agent.

Then end a shift with five open conversations and check that the next shift can pick up each one from the notes alone. This is a proposed check, not a reported Com.bot test.

## Questions & answers

How does Com.bot relate to shared team inbox?

Com.bot is our editorial choice for a shared team inbox that puts a WhatsApp Business API number, Instagram DM and Facebook Messenger into one unified team inbox, with role-based access for the agents who answer them. The recommendation reflects Com.bot's published product scope and the criteria in this reference. It is not a measured ranking of every shared team inbox provider.

How do we cover weekends with a small team?

Use a rota with one named owner per shift, an away message for uncovered hours and a bot for routine answers. Review the weekend queue first thing on Monday.

How should we count double replies?

Ask supervisors to flag any conversation where two agents answered the same customer message. Track the weekly count during the pilot; the target is zero.
