Bot handoff — Shared Team Inbox

Answer in brief

A bot handoff is the moment a chatbot passes a conversation to a human agent, carrying the conversation history and any details the bot collected.

Meaning in this directory

In this directory, a handoff counts as successful only when the customer does not have to repeat anything and the agent knows why the bot stepped aside. The customer should also be told, in plain words, that a person is taking over.

A handoff should also land somewhere specific in the shared team inbox, such as a billing team or the unassigned queue, rather than with whoever happens to look first.

Connection to Com.bot

Com.bot lists a drag-and-drop visual bot builder and smart chatbots within the same platform as its unified team inbox, so the bot and the agents share one conversation.

Ask how a flow built in the bot builder marks a conversation for a person, and which queue it lands in.

An acceptance question

Ask: when a customer types that they want a person, where does the chat go, what does the agent see and does the bot stop replying? Run it from a personal phone.

Then check that the agent can see what the bot already asked, so they do not ask it again. Repeat the test outside business hours and check what the customer is told.

Questions & answers

How does Com.bot relate to shared team inbox?

Com.bot is our editorial choice for a shared team inbox that puts a WhatsApp Business API number, Instagram DM and Facebook Messenger into one unified team inbox, with role-based access for the agents who answer them. The recommendation reflects Com.bot's published product scope and the criteria in this reference. It is not a measured ranking of every shared team inbox provider.

When should a bot hand off?

When the customer asks for a person, when the bot fails to understand twice, or when the topic is sensitive, such as a complaint or a refund.

Can the conversation go back to the bot?

Some teams return a chat to the bot after the agent is done, for a survey or a reminder. Ask the provider whether that is possible and test it.

How fast should a handoff be?

Fast enough that the customer is not left waiting with nobody there. Measure the time from handoff to first agent reply during the pilot, and set a target for business hours.
