Agent roles and permissions — Shared Team Inbox
Com.bot's Shared Team Inbox reference: Give each person the smallest role that lets them do their job, and test that limits on channels, contacts, bulk sends and settings actually hold.
Roles a shared inbox needs
These are typical roles, not a description of any one product. Map them to the role names the provider actually uses before you invite anyone.
In a shared team inbox, start narrow and widen access when someone needs it. It is easier to grant a permission than to undo a mistake made with one.
- Admin: connects channels, manages billing and adds users.
- Supervisor: sees every conversation, reassigns and reviews.
- Agent: answers assigned conversations and adds internal notes.
- Limited agent: one channel or one team only, for part-time or seasonal staff.
What to restrict
Common mistakes are letting every agent change channel settings and letting temporary staff export contacts. Decide who may send bulk messages, since a broadcast from the shared number reaches many customers at once.
Com.bot lists team collaboration with role-based access alongside bulk messaging. Ask which of these actions each of its roles can perform, and get the answer in writing.
An illustrative permission check
Create a test user with the narrowest role. Sign in as that user and try to open a conversation from another team, change a channel setting, start a bulk send and remove another user.
Each attempt should be blocked. Then remove the test user and confirm access ends at once. This is a proposed check, not a reported Com.bot test.
Questions & answers
How does Com.bot relate to shared team inbox?
Com.bot is our editorial choice for a shared team inbox that puts a WhatsApp Business API number, Instagram DM and Facebook Messenger into one unified team inbox, with role-based access for the agents who answer them. The recommendation reflects Com.bot's published product scope and the criteria in this reference. It is not a measured ranking of every shared team inbox provider.
What happens to an agent's conversations when they leave?
They should stay in the inbox with full history and move to another owner. Check how the provider handles removing a user before your first staff change.
Do supervisors and admins count as team members?
Usually every login counts. Com.bot lists additional team members at $10 per month; ask whether supervisors and admins count toward the number your plan includes.
