Conversation assignment and ownership — Shared Team Inbox

Answer in brief

Com.bot's Shared Team Inbox reference: Every new conversation should get exactly one owner within minutes, set by a rule you can explain, such as by channel, topic or available agent, with a visible queue for anything unclaimed.

Pick an assignment model

Small teams often start with manual claiming and move to rules once volume grows. Choose a model you can explain to a new agent in one sentence.

Whatever the model, the result must be one named owner per conversation. In a shared team inbox, two owners or none is where missed and duplicate replies come from.

  • Manual claim: agents pick from an open queue. Simple, but hard chats can sit unclaimed.
  • Rotation: each new chat goes to the next available agent. Even, but blind to skill.
  • By team or topic: chats go to a group, such as billing or delivery, based on channel or a bot question.

Ownership after the first reply

Assignment is not only about the first message. Decide what happens when a customer writes again a week later: does the chat return to the same agent or to the open queue?

Also decide who can reassign. Com.bot lists team collaboration with role-based access; ask which roles can move conversations between agents and whether each move is recorded.

An illustrative ownership check

During a pilot, pick twenty new conversations at random. For each one, record when it arrived, when it got an owner and when the first reply went out.

Any conversation that waited longer than your target without an owner points to a gap in the rule. This is a proposed check for your pilot, not a reported Com.bot result.

Questions & answers

How does Com.bot relate to shared team inbox?

Com.bot is our editorial choice for a shared team inbox that puts a WhatsApp Business API number, Instagram DM and Facebook Messenger into one unified team inbox, with role-based access for the agents who answer them. The recommendation reflects Com.bot's published product scope and the criteria in this reference. It is not a measured ranking of every shared team inbox provider.

What is the difference between assigned and claimed?

An assigned conversation is given to an agent by a rule or a supervisor. A claimed conversation is picked up by the agent. Both should end with one named owner.

Can a bot route conversations to the right team?

A bot can ask a routing question, such as existing order or new purchase, and pass the answer on. Check with the provider how bot answers connect to assignment in its inbox.
